What ReCreation Adventure Ministry does

ReCreation Adventure Ministries is a 501(c)(3) non-profit organization that provides outdoor expeditions for youth and adults to experience and learn to relate those experiences to the Christ Life.  Additionally, RAM strives to work with churches, schools and other organizations to give economically disadvantaged, low income youth and adults these same experiences. Specific donations are accepted to provide tuition scholarships explicitly for these participants. Tuition fees for each expedition are for the actual cost of the equipment, transportation, food and permits and fees specific to that expedition.

Expeditions are available from RAM in two formats:

  1. Open Expeditions – These expeditions are pre-planned and priced based on the specifics of the expedition. Participants who register for these expeditions agree to participate in the expedition as presented and designed. No changes to the expeditions will be made (with the exception of emergencies).

  2. Private Expeditions – These expeditions are designed to the needs of the specific group of participants requesting the expedition.  However, the expedition will still follow safety and “Leave No Trace” guidelines. Any expedition requested that does not follow these guidelines will not be provided through RAM.

For expeditions including airfares, the following terms and conditions apply:

If an expedition includes airfares, the tickets will be purchased through RAM and the price included in the expedition tuition fee.

If passports are needed for travel, these will need to be provided to RAM at least 3 to 6 months prior to departure in order for appropriate documentation to be secured (including but not limited to: tourist visas and other fees required by the destination country).

TSA SECURE FLIGHT PRIVACY NOTICE The Transportation Security Administration (TSA) requires you to provide your full name, date of birth, and gender or the purpose of watch list screening, under the authority of 49 U.S.C. section 114, the Intelligence Reform and Terrorism Prevention Act of 2004 and 49 C.F.R. parts 1540 and 1560. Failure to provide your full name, date of birth, and gender may result in denial of transport or denial of authority to enter the boarding area. TSA may share information you provide with law enforcement or intelligence agencies or others under its published system of records notice. For more on TSA policies or to review the system of records notice and the privacy impact assessment, please see the TSA website at www.tsa.gov.

RAM nor the FAA or any provider of air traffic data makes any guarantees as to the accuracy, completeness, or adequacy of any flight schedules. Airlines retain the right to adjust flight times at any time. RAM will confirm flight times with the airline 24 hours prior to travel and with notify expedition participants of any flight changes to the email or phone number specified on the registration form. RAM is not responsibility for schedule changes issued by the airlines, denied boarding, mechanical cancellations or for overbooked flights.

When a RAM expedition includes airfare, the expedition description will state the number of bags and weight of those bags that will be included in the tuition fee. Assigned seating, when available to be chosen without additional cost, will be completed by RAM at the request of the participants. RAM does not guarantee that participants will be able to seat together when flying however all efforts will be made to accomplish this for participants.

Flight schedules will match the expedition timelines. If a participant has a need or desire to return or arrive earlier or later than the expedition dates, the participant is responsible for any additional fees incurred for making changes to the flight.

If a participant shares their need to arrive early/late or leave early/late PRIOR to the booking of the flights, RAM will accommodate the participant’s needs; however, the participant will still be responsible for the additional charges, if any, over the expedition tuition fee.

Some airlines have additional restrictions and fees that apply to reservations and travel. Please be advised that some airlines may charge additional fees, including, but not limited to the following: baggage, preassigned seating, infant taxes, fuel, security, and incidentals. All additional charges as well as any additional taxes and fees of any type are the passenger’s responsibility.

LUGGAGE AND PERSONAL PROPERTY:  Certain conditions and exclusions apply to your luggage and personal property when travelling to and from your destination.  Those conditions are available by requesting them in writing from the carrier or by request at the airport. Some airlines do not cover damage to soft-sided luggage. The airlines’ maximum liability for loss, damage, or delay to any checked baggage or luggage is usually limited and the specific limitations are available and may be obtained through the carrier.  These liability limits will apply unless an excess valuation is declared at the time of check-in. All lost or damaged luggage must be reported to an airline representative at the destination airport by the passenger before you leave the airport. Checked baggage taken from the terminal building at the destination will be considered to have been received in good condition and no claim for loss or damage will be accepted after baggage has been removed from the terminal. Loss or damage must be reported immediately. RAM disclaims any and all liability for baggage, luggage or personal property.

HAZARDOUS MATERIALS RESTRICTIONS: The FAA has issued “Hazardous Materials Restrictions” effective as of Jan. 1, 2015 – Federal law forbids the carriage of hazardous materials aboard aircraft in your luggage or on your person. A violation can result in five years of imprisonment and penalties of $250,000 or more (49 U.S.C. 5124). Hazardous materials include explosives, compressed gases, flammable liquids and solids, oxidizers, poisons, corrosives and radioactive materials. Examples:  paints, lighter fluid, fireworks, tear gases, oxygen bottles, and radiopharmaceuticals. There are special exceptions for small quantities (up to 70 ounces total) of medicinal and toilet articles carried in your luggage and certain smoking materials carried on your person. For further information contact your airline representative. Violation of these restrictions will result in imprisonment and financial penalties.

Expedition Tuition Fee Information

All of our tuition fees are shown in U.S. Dollars. The tuition fee includes all transportation, permits, fees, visas, and equipment. Food is also included in the tuition fee once the expedition starts. “Travel food” to the expedition destination is not included in the tuition fee. Additionally, participants are responsible for their own purchase of any souvenirs desired from the expedition destination.

Donations are received from time to time to assist participants with the tuition fee if they are unable to pay the full tuition amount. A participant that wishes to apply for a scholarship will need to complete a scholarship application (online) and submit it 30-60 days prior to the expedition date to allow for processing of the application and to procure the scholarship funds, if not readily available.

Tax Remittance: Tuition fees are made based on the current tax rates for each individual destination. For expeditions that include motel and airline reservations in various states and countries, if tax rates are increased, RAM reserves the right to increase the expedition tuition to cover those taxes. If participants have already paid for their expedition, they will receive a notice of tax increase as soon as RAM is made aware of the increase.

Registering for an Expedition

Tuition Information: All expeditions detailed on the website are subject to a maximum number of participants and to the minimum number of participants required for an expedition to occur.

Participants must read the physical requirements for the expedition of their choice and are responsible to prepare adequately for the expedition. Preparation tips are provided on the website.

Participants need to make sure that they meet the eligibility requirements for the expedition of choice and are able to travel on the dates of the expedition. RAM shall not be liable for any failure or inability of a participant to be able to attend the expedition registered and paid for (see cancellation and refund policy below). RAM is not liable for a participant’s lack of preparation for an expedition that may result in any injury and future need for medical attention including but not limited to surgery, therapies, amputations and/or death.

If you have a medical condition which may affect your participation in an expedition, please let us know before registering and paying for an expedition so we may adequately determine if the expedition is suitable for your needs.

All participants are required to complete the two online forms and pay their tuition fee before they are considered ‘registered’ for an expedition and have a spot on the expedition ‘reserved’ for them.

It is the responsibility of the participant to make RAM aware (on the health form) of any allergies or special dietary needs PRIOR to the expedition so that accommodations can be made.

Payment Terms

Payments: Payments are accepted in cash, check or online with a credit/debit card. If a check is given and it is returned insufficient, you will lose your spot on the expedition and you will incur a $35 insufficient funds check fee, due and payable to RAM regardless if you continue with the expedition payment in cash or credit card or not.

For your convenience and in order to safeguard your payment information, all credit/debit payments are transacted through the secure server of our online payment processing provider, and once you have entered all relevant information correctly, payments will be taken automatically. You will have the option to save your payment information for future expeditions or to have your information deleted after the transaction. RAM does not receive any of the payment information made via our payment processing provider.

In order to secure a spot on an expedition, payment must be made in full or for extended expeditions a deposit is required. In order to take advantage of Early Bird discounts, you must pay the full amount of the expedition on or before the Early Bird date listed on the website AND enter the Early Bird code while processing your payment.  If you pay in cash or check, the monies must be received at the RAM office on or before the Early Bird date. If sending via mail, the date of receipt will be the postmark on the envelope.

Deadlines for full payment of your expedition varies, depending on the expedition chosen. Please see the website and specific expedition information for the deadline date(s).

Cancellation/Refund Policy

For expeditions of 3 days or less in length, the full expedition price is due at the time of tuition in order to reserve a space. For expeditions four or more days in length, a 25% (of full expedition price) tuition fee is due in order to reserve a space.  The balance for expeditions of four or more days is due two weeks prior to expedition departure. Some extended and expedition expeditions will require a larger tuition fee and/or an earlier final payment deadline. This information will be stated on the individual expedition information flyer.

Cancellation Refund Policy: Prospective expedition participants who cancel from a expedition will automatically forfeit a $25 tuition fee. This tuition fee CANNOT BE REFUNDED for any reason or under any circumstances.  Any participants who cancel before the sign-up deadline of the expedition will receive a refund of the expedition cost minus the tuition fee. ***Any Cancellation made after the sign-up deadline will forfeit the total cost of the expedition.**** Some expeditions will require an earlier deadline for cancellation and will be stated on the individual expedition description.  Refunds or transfers can only be approved and issued by the expedition leader for that specific expedition. If for any reason, we, ReCreation Adventure Ministries, cancel an expedition, a full refund will be issued (including the tuition fee).  If you have any questions regarding our policies, please call or submit an email.

Transfer Policy: All transfers from one ReCreation Adventure Ministries expedition to another are subject to the same conditions as the “Cancellation/Refund Policy”. After registering for an expedition, you may transfer that specific expedition one time only.

Medical Emergencies: In the event of a medical emergency and upon receipt of a written statement from a doctor attesting to your inability to participate on the expedition, the ReCreation Adventure Ministries will retain the $25 tuition fee as a cancellation fee and the rest of the expedition tuition will be refunded.

All refunds will be issued within 10-15 business days of the documented request. Documented requests can be received in writing or in an email from the email on file for the expedition.
